Trust, confidentiality, and your documents
Working with us means sharing title documents, identity papers, and family details with people you have not met, in a country you do not live in. This page sets out precisely how that information is handled, who sees it, and what we will never do with it.
Confidentiality protocol
Discretion is not a promise we make in a sentence. It is a set of rules we operate under.
We sign a confidentiality agreement before you share a single document. You do not have to ask for it, and you do not have to give us anything sensitive to get it.
Your information reaches only the people whose work requires it. On a typical mandate that means:
Relatives, caretakers, and local contacts do not receive your information or instructions unless you tell us in writing to include them. In many of the matters we handle, the family member nearby is part of the problem.
We act on your instruction only. If someone approaches us claiming authority over your property, we come back to you before we act, every time.
Where a CPA, lawyer, or wealth manager introduced you, we report back to them on the property matter and nothing beyond it, and only with your consent.
We do not sell your information. We do not share your property details with buyers, brokers, or lead lists. We do not use your name or your matter as a reference or case study without your written permission.
Data and document handling
Title deeds, mutation records, identity documents, and powers of attorney. Here is the handling policy for each stage.
Documents are shared through a secure channel we set up for your mandate, not over open email or a messaging app. Where an original must be physically inspected, we tell you in advance and never ask you to part with an original you cannot replace.
Your documents are held in access-controlled storage, available only to the people assigned to your mandate. Access is logged, and it is withdrawn when a person leaves your engagement.
We keep your documents only as long as the mandate and the law require. When the engagement ends, you tell us what to return, what to retain, and what to destroy.
The file is yours. You can ask us at any point what we hold, who has seen it, and to correct anything that is wrong. If you want your information deleted, we do so, other than where a law or a live legal matter requires us to keep it, and we will tell you plainly when that is the case.
